Privacy Policy
Who and What
This is a web site (“Cranbrook Community”) setup by Vincent Paul Wilton (“me”, “I”) for the purposes of promotion for the East Devon District Council local elections where I am standing for election to present the town of Cranbrook, Devon. It is promoted by myself, and not affiliated with any political party.
By “campaigning” and “promotion” I mean “activity in support of an election of which I am a candidate”, which is generally covered in either the Representation of the People Act 1983 and/or the Political Parties and Referendums Act 2000 as appropriate.
The information in this Privacy Policy applies to everything done on/through this web site unless otherwise notified to you.
Key Reasons data may be stored:
I only store data where required to make this web site work, or where you choose to contact me using the Online Form. I store the least amount of personally identifiable information I can. If you choose to contact me using the online form, you’re acknowledging you realise I will have to store that contact form and/or email in order to read it and/or respond to you.
The very limited data stored might include cookies used to make functions on the site work, logs for the server(s) that host the web site etc and analytics data to help me understand if people are visiting and finding out about my campaign, plus data stored to protect and secure the web site.
If you choose to contact me via this web site, or by e-mail, then I will likely store the data so I can deal with your enquiry and refer back to it. You can ask me to remove data if you wish at any time. I will therefore store your information and process it as necessary but for the purpose of handling your enquiry.
If you provide your details to allow me to send updates on my campaign I will do this and only store the data for that purpose. If there is no longer a reason for me to have this data (for example I have no further campaign purpose), I will remove it and stop storing your data.
It will also be the case that I have backup copies of the web site, e-mails and contact records in order to ensure I can recover data and the web site should something happen. These are treated in the same way as anything else here. Backup data may be retained for 30-90 days before it is fully removed from all systems once deleted due to backup integrity compliance.
Technical Delivery:
I may need logs and other technical data to provide, support and maintain the web site, either directly by me whilst campaigning, or through the company I own which hosts the site. This might include web server logs (pages accessed, downloads performed etc), security information (IP addresses, geographic locations etc).
I also need to be able to monitor, secure and manage the web site and usage of it, and through my company, the server(s) that host it, and some data is required to do this, so the same or similar use cases arise but the reason I am using the data will be slightly different to the above for hopefully obvious reasons.
I allow some limited data to be stored elsewhere in order to provide analytics (eg to help me know how many people visit the site etc), Google’s service is used for this and thus a limited amount of data is collected and stored by them. I have also setup the Microsoft Clarity service which provides additional analytics and data that helps me understand how the web site is used so I can make sure I make changes to fix issues or add/change information as needed.
What personally identifiable information is stored:
If you use the Contact Form then your title, first and last name (where you provide all of this to us), your phone number (if you provide it), your email address, what type of contact you are (for example ‘a resident of Cranbrook’), your reason for enquiry (from a list), and the actual enquiry, as well as whether you gave consent for me to share your details if I needed to in order to help answer your enquiry will be stored.
If you consent to receive updates on my campaign, your name and email address will be stored.
By using these tools you are consenting to me storing and processing your data.
It is technically possible that your IP address (provided via your internet connection) could identify you directly in some cases. I am not going to use or look at this or attempt to link you, and I cannot avoid storing this data without the web site not working or being kept secure.
Storing Data to protect me
I may need to use data held to prove I am adhering to Election Rules and processes or other legal obligations on me, and may be obliged to retain it for a long period of time.
Where I Store Data
All data is stored on server systems that are held within the United Kingdom, over which I have full control, with the exception of Analytics Data which is created and stored by third parties, including Google and subject to its data storage policies.
Sharing of Data
Generally, I will not share your data with others, except where:
- You have given consent in a contact form (and I need to do so to help you),
- For the purpose of my campaign I need to discus with anyone helping with the campaign (for example anyone helping with my web site or supporting my campaign)
- limited data is provided or gathered by Google Analytics or Microsoft Clarity for the purpose of the analytics,
- You have asked for, and consented to receiving updates from me
- I am obliged to do so by law
